Position #14206: Community Education Secretary

Posting Dates: 10/25/2019 – 11/01/2019 (Or until Filled) 
Location: Community Education/Administration Center
Hours: 4 Hours per Day (10 a.m. – 2 p.m., mid-August – mid-June), 202 Days per Year

Salary: $16.26 – $21.14 DOE (Tier A) 

POSITION DESCRIPTION
The Community Education Secretary supports all aspects of the Kennewick Community Education program, offering evening and weekend classes for adults. This person must be a detailed professional communicator, both orally and written, who is comfortable having frequent interaction with community members and volunteer instructors. Must have a positive attitude and enjoy working with all types of people.

CONDITIONS OF EMPLOYMENT

Skills commensurate with job requirements as evidenced by some or all of the following:

 

  1. High school diploma or equivalent required.
  2. Must present transcripts of highest level of education within thirty (30) days of hire.
  3. Employment history in similar position(s).
  4. References indicating satisfactory skills and abilities in similar position.
  5. Must be able to perform the essential functions of the position with or without reasonable accommodation.
  6. Must be able to meet the physical demands of the position.
  7. Must pass a basic skills test.
  8. Completion of safe schools web based training within thirty (30) days of hire and yearly thereafter.
  9. Must pass a background check, which includes employee paid fingerprinting.

 

QUALIFICATIONS REQUIRED

  1. Recommendations that confirm dependability, flexibility, loyalty and self-starting capabilities.
  2. Must uphold board policies and follow administrative procedures.
  3. Must take all necessary and reasonable precautions to protect students, equipment, materials and facilities.
  4. Must attend in-service trainings or other meetings as required, as well as attend any training as directed by management.
  5. Evidence of ability to assess and correct issues involving safety.
  6. Evidence of ability to establish and maintain a tactful, cooperative and effective relationship with students, parents, staff, fellow employees and management.
  7. Evidence of ability to approach assigned work in a professional manner, working toward the common goal of teamwork, pride in service delivery and continuous improvement.
  8. Must be able to use basic computer programs to maintain records, enter timecard information and read and respond to email.
  9. Previous experience and/or training operating general office equipment such as: computer, copy machine, 10 key adding machine.
  10. Knowledge of computer programs such as Word, Excel, etc. Ability to function within various software programs.
  11. Strong verbal and written communication skills; working knowledge of correct grammar, spelling and English usage. 
  12. Must be willing to participate in district training as it becomes available for varied computer programs and other needs.

 

QUALIFICATIONS PREFERRED

  1. Bilingual in English and Spanish preferred.
  2. Previous secretarial experience.
  3. Experience with Microsoft Office programs.
  4. Previous experience with multiple telephone lines.
  5. Strong verbal and written communication skills; working knowledge of correct grammar, spelling and English usage. 
  6. Be able to maintain composure under stressful circumstances.
  7. Demonstrate ability to independently learn new operations, procedures, and processes.
  8. Be committed to providing excellent customer service.
  9. Previous experience in receiving, receipting, and depositing money.
  10. Positive evaluations and recommendations that support character and work ethic.

 

JOB RESPONSIBILITIES
Included but are not limited to the following:

  1. Assist Community Education Coordinator in the efficient operation of the office.
  2. Offer outstanding customer service in a friendly, professional manner.
  3. Provide district office administration building reception support, including covering the front desk, assisting customers, and assisting other personnel as may be required to support the administration team.
  4. Prioritize tasks to meet deadlines.
  5. Maintain office files, both electronically and hard copy.
  6. Maintain an organized and neat work area/office.
  7. Assist Community Education Coordinator in the development of course catalogs.
  8. Provide support to community education instructors as requested (photocopying, scheduling, audio/video equipment needs, etc.).
  9. Register students for classes, receipt money, enter data on hard copy and computer data base, and file registration forms appropriately.
  10. Set up for evening classes at various district locations, including posting signs in and outside buildings and delivering materials to classrooms. This work is performed during normal work hours. Secretary is responsible for tracking auto mileage, which will be reimbursed at the district rate.
  11. Develop and maintain student and instructor databases.
  12. Assist Community Education Coordinator in identifying, scheduling, and preparing materials for community outreach.
  13. Be available to assist on occasional evening and weekend Community Education and Outreach activities.
  14. Answer telephone and manage or direct calls as appropriate.
  15. Maintain financial records.
  16. Open and prioritize mail.
  17. Sort and distribute mail on a rotating basis.
  18. Alternate years serving on the building safety committee.

  • Mobility: While performing the duties of this job, the employee is regularly required to stand and walk for prolonged periods of time, push or pull 18-26 lbs., sit, kneel and crouch, twist and bend, use hands to type, finger, handle, or feel; and reach with hands and arm.
  • Sense: The employee is required to talk/hear conversations and other sounds. The employee must be able to communicate effectively in person and over the telephone. The employee is required to taste and smell. Specific vision abilities required by this job include close vision, far vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
  • Lifting: The employee must be able to lift or move up to 18-26 pounds; must also be able to lift overhead. The employee may be required to physically move quickly in an emergency or while performing student supervision duties.

  • Physical Hazards: While performing the duties of this job, the employee must be able to work outdoors in a wide variety of temperatures; from -10 degrees F to 100 degrees F +. The employee may be exposed to wet and/or humid conditions. The noise level in this work environment is moderate.
